Title: Operations Manager
Location: San Francisco (hybrid: onsite Mondays and Wednesdays)
Compensation: $40.00 - $50.00 per hour

Position Summary

The Operations Manager supports the core administrative and operational functions of a small mission-driven nonprofit, working closely with the Executive Director to ensure day-to-day operations run smoothly across human resources, systems and technology, office management, board administration, event logistics, and finance support.

This role is highly process-driven and detail-oriented. It serves as the central operational resource for a staff of approximately 14, allowing leadership to focus on strategic priorities while recurring operational processes are executed accurately and on schedule. The position begins as a temporary assignment with the possibility of becoming a long-term hire, and includes approximately one month of direct training and knowledge transfer from the current role holder.

Reporting Relationship

This position reports directly to the Executive Director. The role does not currently supervise staff but works closely with finance personnel, internal stakeholders, and external vendors.

Key Responsibilities

Human Resources & People Operations

  • Coordinate employee onboarding activities, reference checks, and background checks.

  • Administer employee benefits and annual notices, and support staff with benefits-related questions.

  • Prepare payroll reports for review and processing, and assist with approval verification.

  • Maintain employee records and HR systems.

  • Manage logistics, timelines, and communications for performance review cycles.

  • Track professional development activities across the staff.

Office Management & Systems Administration

  • Maintain office supplies, kitchen inventory, and general workplace resources.

  • Process and distribute incoming mail and deliveries.

  • Serve as primary point of contact for facilities maintenance, vendors, and office access.

  • Administer Google Workspace and support productivity and collaboration platforms.

  • Coordinate hardware, software, and IT support needs with external vendors.

  • Support organizational security, access controls, and data privacy practices.

Board Administration & Event Coordination

  • Prepare and distribute board meeting materials and reminders.

  • Coordinate agenda planning and resolution tracking with leadership.

  • Support annual board administration processes, including stipends and compliance documentation.

  • Manage onboarding documentation for new board members.

  • Coordinate planning and logistics for staff retreats and annual organizational meetings, including vendors, venues, and materials.

Finance & Operational Support

  • Maintain and update annual expense budgets.

  • Review and approve vendor payments through financial systems.

  • Monitor employee expense submissions and receipt compliance.

  • Approve expense coding and support synchronization with accounting systems.

  • Assist with credit card administration and user access management.

  • Act as the primary operational support resource for staff across all departments.

  • Identify opportunities to improve operational systems, workflows, and processes.

Qualifications

Preferred Experience

  • Previous experience in operations, administration, office management, or a related support function.

  • Working knowledge of HR-related administrative processes and the employee lifecycle.

  • Experience serving as a central support contact for multiple departments or business functions.

  • Nonprofit sector experience preferred.

  • Exposure to payroll support, board support, or governance-related administration is a plus.

  • Backgrounds that translate well include operations coordinators, office managers, people operations or HR coordinators, and administrative managers supporting small organizations.

Technical Skills

  • Proficiency with Google Workspace, including administrative functions.

  • Comfort learning and maintaining HR, finance, collaboration, and workflow management systems.

  • BambooHR or comparable HRIS experience preferred.

  • Familiarity with expense management and accounting platforms is a plus.

  • Technology troubleshooting or systems administration exposure is welcome.
